Business Process Automation with Scriptum: A Relevant Service from IQusion

Improving operational efficiency in modern conditions is one of the main tasks for any organization or enterprise leader. One effective method to achieve this goal is the implementation of innovative technologies to optimize internal processes and enhance competitiveness. BPM systems are one such technology.

Serhii Balashuk, Director of IQusion IT LLC, presented the Scriptum system to clients and partners on October 6, 2023. The system was developed by specialists from companies within Intecracy Group. Specifically, this includes InBase, a company with many years of experience in developing electronic document management systems and business process automation. IQusion, one of Ukraine’s leading system integrators and software developers, provides clients with services for implementing software products built on Scriptum, as well as developing custom solutions.

Theoretical Excursion

As is known, BPM (Business Process Management) is a concept of process-oriented organizational management that views business processes as special enterprise resources that continuously adapt to constant changes. It relies on principles such as, firstly, the clarity and visibility of business processes within an organization through their modeling using formal notations, and secondly, the use of software for modeling, simulation, monitoring, and analysis of business processes, with the possibility of dynamic reconfiguration of business process models by participants and software systems. Simply put, BPM answers the questions of where, when, why, how, and what work is performed, and who is responsible for its execution.

A business process (or operational process) is a goal-oriented action that has a conclusive nature and leads to a planned result (execution). Examples of business processes include hiring a new person in an organization, conducting financial transactions, balancing electricity, selling goods, and so on. Within the BPM concept, an organization’s business process system is broken down into a finite sequence of steps, their properties are described, and then the maximum possible automation is implemented.

It is important that BPM allows an organization to “see and understand” itself. Thus, thanks to BPM systems, business analysts design process diagrams of any complexity, including those with numerous branches, specific rules, or business process requirements. This provides the organization with clearly defined regulations, the main goal of which is to unify the company’s activities as a whole, as well as its departments, each individual employee, or software to achieve the best results.

BPMS (BPM System) is a set of IT tools and programs for solving process management tasks. Scriptum is currently one such system, one of the best products on the market. The functionality of BPM programs (applications) includes business process design, modeling, execution, monitoring, and overall optimization. Additionally, BPM can be used to automate various business processes.

The Scriptum system incorporates tools such as BPMN (Business Process Model and Notation) – a system of conventional symbols used for modeling business processes. The main advantage of this standard is that any business process diagram (designed with its help) will be simultaneously understandable to both an ordinary software user and professional business analysts. Furthermore, the use of BPM based on BPMN applications allows organizations to focus on important tasks and improve the effectiveness of interactions with their clients, partners, etc.

Additional Advantages of the Scriptum BPM System

1. Low-code

The main settings for the system and processes (users, organizational structure, interfaces, business processes, objects, documents, access rights, etc.) are accessible to business process analysts and do not require specialized knowledge or programming language skills.

2. Scalability

The system is supplied in several editions (Standard and Enterprise) and can be deployed on either PostgreSQL or MS SQL Server DBMS, as well as on scalable Oracle® Database or MS SQL Enterprise Edition DBMS, allowing for the construction of systems with high load and increased fault tolerance.

3. Functionality

The system offers full functionality for comprehensive business automation, with the possibility of continuous improvement of business processes, making it a leader among similar products.

4. Cost of Ownership

The absence of subscription fees (the system is purchased once and for all) and the ability to implement the system using in-house analysts make the platform the most economical solution among products of a similar class.

What IQusion IT LLC Offers

“The advantage of cooperating with our company is that we offer not only a quality product but also our own expertise, accumulated over more than 15 years of work in the market,” notes Mr. Balashuk. IQusion IT specialists, firstly, perform business process analysis; secondly, they create a system prototype (a mockup of a process or set of processes so that clients can see and understand what the future system will look like). Thirdly, the company’s experts help the client develop technical specifications and documentation.

Following this, the system is configured according to the business processes agreed upon in the technical specifications. During the implementation phase, staff training and testing in real-world conditions take place.

However, that’s not all. Scriptum allows integration with products already in use within the organization. For example, this includes CRM systems, project and task management solutions, accounting software, procurement and warehousing solutions, etc.

Scriptum Modules

The system “out of the box” includes a business process designer, form designer, labels and registers designer, integrations and API designer, and IDP designer. Additionally, there are ready-made modules. For example, “Calendar” – it allows creating calendars and individually configuring event display, task tracking, and control within them. All meetings, daily schedules, and task planning can be managed not in disparate third-party calendars, but within your own system, where everything will be automatically pulled in.

Another example is the “Organizational Structure” module. Thanks to it, an administrator can easily configure your company’s organizational structure and add all organizations, departments, staff units, and other attributes. This will allow for defining employee responsibilities and distributing access levels to documents, operations, etc.

Also very useful is the ready-made module called “Document Generation by Template”. It allows generating any documents – from a sales contract to a leave application. Simply upload the template to the system and configure the “Generate by Template” module in the document’s workflow. For example, when concluding a deal, the manager will not have to manually enter all order details, amounts, counterparty requisites, etc., into contracts and acts. The system will automatically insert this data from the deal card, and the manager will receive a ready file with the contract.

“The implementation of the Scriptum BPM system can become a catalyst for improving productivity, efficiency, and customer-centricity. Automation, control, analysis, and optimization of business processes are steps that allow an organization to grow, develop, and thrive in a dynamic and competitive economic space,” says Serhii Balashuk.
