5 Steps for Implementing Electronic Document Management

Electronic Document Management (EDM) is a key tool for digital business transformation. Its implementation allows for increased process efficiency, minimized costs, and ensured control at all stages of document processing.

In this material, we provide a step-by-step guide to implementing EDM, based on the practical experience of using solutions from our partner — InBase, the developer of the low-code platform Scriptum.

IQusion IT specialists provide professional integration of InBase products into the client’s business environment, including configuration, customization for specific processes, and system support.

Step 1. Business Process Analysis

At the start of the project, it is important to conduct an audit of document-oriented processes: what documents are used, which departments are involved in their creation, approval, signing, and archiving. This allows for the formation of a technical specification and avoids process duplication during automation.

Step 2. System Requirements Definition

Based on the preliminary analysis, key requirements for the future system are defined:

  • support for internal document management;
  • use of a qualified electronic signature (QES);
  • centralized storage and document search;
  • integration with accounting, financial, and record-keeping systems;
  • remote access for managers and employees;
  • control of execution deadlines and automatic reminders.

Step 3. Platform Selection

The optimal solution for a quick start and flexible adaptation are low-code platforms, which allow configuring document management without programming. One such solution is Scriptum — a Ukrainian platform developed by InBase, which supports scalable process automation with deep customization capabilities.

IQusion IT implements Scriptum in various business sectors, adapting its functionality to clients’ real tasks.

Step 4. Document Unification

Before launch, it is worth unifying the document structure — templates for contracts, applications, orders, memos, etc. This simplifies document creation, ensures uniform standards, and minimizes the risk of errors.

Step 5. Building Approval Workflows

For each document type, a clear workflow is formed: who creates, who approves, who signs, who stores. Flexible workflow configuration in Scriptum allows for all specific organizational structure features to be taken into account.

Step 6. Staff Training

Explaining the system’s benefits, preparing instructions, and training key users are critically important steps for successful implementation. We recommend combining online training with individual support during the initial stages of operation.

Step 7. Pilot Launch and Scaling

Implementation should begin with one department or document type. This approach allows for testing the solution, gathering feedback, making adjustments, and only then scaling the system to the entire company.

Benefits of Electronic Document Management

  • access to documents from any location;
  • acceleration of approval and signing processes;
  • real-time document status tracking;
  • reduction of printing, storage, and delivery costs;
  • compliance with Ukrainian legislation and QES requirements;
  • secure digital archiving;
  • convenient integration with other information systems.
