Why Scan Copies Are Not Electronic Document Management: Debunking Myths
Many companies still believe that scanning paper documents is already electronic document management (EDM). But this is a dangerous illusion. In 2025, such a practice does more harm than good.
The IQusion team, which has been implementing EDM systems in businesses and government agencies for over 15 years, explains the key difference between a scan copy and a full-fledged electronic document, and why simple scanning is not a guarantee of preservation, security, or legal force.
Myth 1. “A scan is enough for an archive”
Reality: A scan is just an image. It does not contain structured metadata, status, signature, date of receipt, or processing.
📌 In case of an audit or legal proceeding, such a file will have no legal force without confirmation of its authenticity and linkage to the process.
Myth 2. “Scanning documents = digital archive”
Reality: Without a document management system, you are simply accumulating chaotic PDF files in folders. This is not an archive, but digital chaos.
- No control over retention periods
- Inability to search by content or details
- No history of changes, actions, approvals
Myth 3. “Scanned documents do not need to be signed”
Reality: Without a QES (qualified electronic signature), a scan is not an official electronic document.
🛡️ EDM involves:
- formalized document format (XML, PDF/A, etc.);
- use of QES for signing and confirming validity;
- connection with an internal process (approval, refusal approval, etc.).
Myth 4. “You can sign first, then scan”
Reality: After scanning, the confirmation of signature authenticity is lost. This is why QES was created.
QES:
- unique for each signatory;
- contains a timestamp and certificate data;
- ensures document integrity (impossible to change without losing the signature).
What is true electronic document management?
It is a system that ensures:
- creation of a document in digital form (via a form or automatically);
- its passage through a clearly defined process (approval, signing, storage);
- use of QES instead of paper signatures;
- archiving with all metadata and action logs.
And most importantly, all these actions take place in a single environment (for example, in Scriptum), without switching to email, Excel, or paper drafts.
